Introduction

At Bognor Vineyard, we take your privacy very seriously and are committed to keeping any information about you safe. We ensure that your personal data is processed fairly and lawfully, is accurate, is kept secure and is not held for longer than necessary. This Privacy notice tells you simply, how and why we do this.

Who We Are

Bognor Vineyard is a church who meet every Sunday, generally at Felpham Community College or at the North Bersted Community Centre and at various locations during the week. We also have a church in Chichester and the Youth of Bognor Charity.

We are a charity registered in England & Wales (1084904). Our company Number is 4093580 and our registered office is 5a Waterloo Square, Bognor Regis PO21 1TE. We are affiliated to Vineyard Churches UK and Ireland.

For the purposes of this Notice, 'us', 'we' and 'our' refer to Bognor Vineyard.

What information do we hold?

Personal information (such as name, telephone number, photograph, address and email address, appropriate family members)

Sensitive Information (such as gender, ethnicity, language, nationality, religious beliefs, sexual orientation, country of birth)

a) Information you give us.

When you:

  • Contact us directly by letter, email, phone or text.

  • Make gifts / donations that are identifiable.

  • Give permission to gift aid your donations.

  • Ask to be on any mailing lists, including newsletters, prayer lists

  • Sign up to the church's App (Churchsuite)

  • Register on our Website for our newsletter (MailChimp)

  • Participate in Discussion Boards or other social media functions

  • Have children and youth (under 18) attending Sunday and midweek groups and/or associated events

  • Sign up / Book on to any of our groups or events.

We will only ask you for information that is necessary to perform the task you have asked us to do but may include your name, postal address, e-mail address, phone number, the church that you attend, financial and credit card information, personal description and/or photographs.

b) Information we automatically collect about you.

When you visit our website we will automatically collect the following information:

  • Technical information, including the Internet protocol (IP) address, your login information, browser type and version, time zone setting, browser plug-in types and versions, and operating system and platform.

  • Information about your visit, including the full Uniform Resource Locators (URL), clickstream to, through and from our site (including date and time), page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), methods used to browse away from the page. 

c) Information we receive from third parties

We may receive information about you from our affiliated churches, other websites that we control, third parties who work closely with us including, for example, business partners, payment and delivery services and search information providers.

d) If a Bognor Vineyard employee or volunteer

We may also hold certain categories of sensitive information such as personal financial details, age, gender, marital status, date of birth, full employment and educational history, references, medical and criminal records.

What is Our Legal Basis For Processing Your Data?

We will only use your data in the ways you have asked us to.

Our legal basis for processing personal data is different depending upon the purpose it was collected for. The following list covers the main types of data that we hold, for a more detailed list please contact us - see below for details.

  • Data collected for Bognor Vineyard news and prayer mailing lists is held on the basis of ‘legitimate interest'.

  • Data collected through the contact form and sign up to our newsletter is held on the basis of ‘consent’. (you may withdraw consent at any time – see below for contact details).

  • Data collected through our booking systems for the events and courses that we run is held on the basis of 'legitimate interest' or because of a contractual obligation to do so.

  • Employee, volunteer and church 'member' data records are processed to comply with legal and contractual obligations and to fulfil our legitimate interests as a church community organisation. Some of your records may be held with your consent and we will notify you of this when your data is collected and will ask for you to agree to this. We will also inform you how you can withdraw your consent if you wished to do so.  

  • Data associated with monetary gifts and donations made to Bognor Vineyard, will be held because of a legal obligation to do so

  • Any safeguarding data will be held because of a legal obligation to do so.

  • Data collected by YoB booking forms for the holiday camp, will be held on the basis of ‘legitimate interest’.

  • Track & Trace data will be collected during the COVID-19 pandemic in line with Government requirements and are therefore held because of a legal obligation to do so.

How Will We Use Your Information?

  • To administer our website and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes

  • To improve our website to ensure that content is presented in the most effective manner for you and for your computer.

  • To allow you to participate in interactive features of our service when you choose to do so.

  • As part of our efforts to keep our site safe and secure

  • If you sign up for electronic newsletters, we will use your information to send you news and information from Bognor Vineyard.

  • To maintain accurate and up to date records or our employees, volunteers, church ‘members’ and YoB attendees.

  • To run Disclosure and Barring Service checks on employees and volunteers in accordance with our safeguarding and employment policies.

Where Do We Store Your Personal Data?

  • We are committed to holding your personal information securely. Only authorised Bognor Vineyard staff, volunteers and staff of our Partners that need to see the data can access it.

  • We may store your information on 'the Cloud', in paper form, or both. We will keep as much data on ‘the Cloud’ as we can. Some historic information is in paper form and where appropriate we will scan and then destroy the paper copies.

  • All computers used by Bognor Vineyard are password protected.

  • Laptop computers and similar devices are encrypted. 

  • Any paper files that hold personal information are kept on secure premises in locked cupboards and filing cabinets.

  • Information you provide to us is stored on our secure servers. Where we have given you (or where you have chosen) a password that enables you to access certain parts of our site or app, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

    Please note: Unfortunately, the transmission of information via the Internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted from your device, to our site; any transmission therefore is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

How Long Do We Hold Your Data?

  • The length of time that we will keep your data will vary depending upon the purpose for which it is processed but we will not keep it longer than for the purpose it was originally collected for or beyond legal retention periods depending on which is the latter.
